As 2024 comes to a close, we’re reflecting on some of the remarkable successes our customers have experienced using Received Digital this year. From universities to large residential complexes, these organizations have revolutionized their mail and package management with the application’s innovative features and modern functionality. Here are some brief highlights of this year’s standout success stories, showcasing the transformative impact of Received Digital.
1. Automatic recipient assignment: Reducing manual work
At Hendrix College, managing a constant influx of packages and mail once involved time-consuming manual processes prone to errors. The college saw major improvements with Received Digital’s Auto-Assign feature, which automatically assigns mail and packages to the right recipient by identifying recipient information on images of the items. This feature reduced workload and improved accuracy for Brittany Hill at Hendrix. Brittany shared,
Received Digital is so much better than our last logging software. It is a more fluid process…

2. Image-based notifications: Clear and instant alerts
Southern Wesleyan University (SWU) experienced challenges with limited notification details. This made it difficult for faculty and students to understand what exactly had been received for them by the mailroom and left them wondering, “Is this important?” and “Does this need to be picked up immediately?” After adopting Received Digital, image-based notifications gave students and faculty complete visibility into their mail since the notifications include actual images of the items received. Shellie Wilkerson, SWU’s mailroom manager, shared,
I love that people get to see what they have [in their box] before they come pick it up.

3. Enhanced communication and transparency
At Middle Tennessee State University (MTSU), the campus mail center experienced a similar challenge. Students neglected picking up their mail due to vague notifications. With Received Digital’s detailed, image-rich notifications, students were motivated to retrieve items more promptly, reducing unclaimed mail. Lori Sultzer, MTSU’s mailroom manager, noted,
Students are now picking up their mail, so we do not have as much "stored" in the mailbox.
Lori Sultzer
Lori expects the overall amount of “leftover” mail at the end of each semester to drop significantly, reducing the workload for her and her team. Read more about Lori’s experience here!
4. Full event tracking and comprehensive chain of custody
Over at East Tennessee State University (ETSU) Received Digital brought a new level of accountability for inbound mail pieces. Don McCarty, the Director of Postal and Passport Services, was familiar with tracking inbound packages with a software solution, but it didn’t account for mail. This left Don powerless to answer questions from recipients about these items. As Don described,
Many of these departments don’t pick up their mail daily, which would leave other members of the department asking us if we had seen certain items, which we wouldn’t be able to answer.
Don McCarty
This changed with the adoption of Received Digital. In addition to packages, Received Digital has custom workflows dedicated to handling mail pieces, meaning Don can record and track all items that come through his mailroom—not just packages. Received Digital’s detailed event tracking happens automatically as the item is received, sent to the recipient, actioned, and fulfilled, providing a comprehensive chain of custody that can be viewed at any time. Don shared,
Several times we have had calls about missing mail, and we have been able to look into the system to see exactly when it arrived and dispatched.

5. Security and accountability
Finally, The Summit at Danbury was able to boost accountability and ensure secure package management with Received Digital’s image-based capture method and built-in storage location management. Image-based capture enables staff to capture images of items as soon as they arrive, making sure every item is accounted for. Notifications are then sent to recipients automatically, making for quicker pickups and a lower chance that packages will sit at reception for an extended period of time. Received Digital’s location management system enables operators to record where each package is being stored as well. This new level of accountability helps to better safeguard tenants’ belongings and ensure items are not misplaced or lost.
Shana Pierce, reception manager, shared,
[The security aspect] is definitely much better because we have a record now. I take a picture of everything that comes in.
